Management Transition Update

INTRODUCTION
The Board of Directors selected MMGI to assume the full community management of your homeowner’s association, effective September 19th, 2024. It is with great pleasure that we have either met and or spoken to some of you and to formally introduce ourselves to everyone.
Marshall Management Group Inc. (“MMGI”) is here to assist you with your community needs, further develop community awareness and assist in increasing property values. We will facilitate the collection of assessments, deed restriction enforcement and interact on all levels of management when dealing with your homeowner’s association.
We are still pending receipt of some very critical information that will assist in the conclusion of your community set up within our software systems. As we continue making the management transition, we want to provide you with important information:

MAILING OF PAYMENTS
All payments to the Association must be made payable to Westhollow Villa Townhomes Assoc. Your introduction letter will include all preferred methods of payment: lockbox payment acceptance, automatic ACH, e-check and debit/credit card acceptance.
Only during this interim period, payments can be mailed to our office address as listed above.
NEW WEBSITE
Release date will be November 1, 2024 for Board of Directors review and suggested changes. Full release of website to all homeowners will be anticipated by November 10, 2024.
YOUR PERSONAL HOA WEB PORTAL
Each homeowner will be provided with a personal web portal. Here you will be able to receive the following benefits:
- Balance Inquiry
- Architectural Control Submission
- Maintenance Request
- Document Access
- Deed Violation History and Compliance
- Owner Profile Management and More
Instruction to gain access to your online HOA account, will be provided within the formal introduction letter.
DATA IS CRITICAL
We are still in the process of receiving data from the former management company. We are hopeful to have all balances, % of ownerships and financial information by November 15th, 2024.
This data is critical to complete the following task, in which we’ve already begun working on:
a) Budget and assessment setting for 2025
b) Reviewing of insurance policies, premiums, deductibles and best application of such
c) Identifying expense sources for reallocation of resources for best use
PORTER AND MAINTENANCE PERSONNEL
Currently, the Association has a temporary onsite porter. A permanent porter solution is forthcoming, after further discussion with the Board.
As we understand, the prior maintenance support staff resigned and we are working closely with the Board to find an amicable solution.
Until then, maintenance request(s) can be turned into our office via the portal, via email to zmatthews@mmgihouston.com or ops@mmgihouston.com or via phone; 713.977.6644.
Some thoughts on maintenance support:
a) An on-call superintendent to verify maintenance tickets, request and bid specification
b) Hiring of a facility maintenance support team that can provide: first service response for pre loss inspection and post loss inspection, for capital budget for projects where they will perform specs and obtain pricing and also perform jobs that can be completed in a 30 days window (pricing is by job).
We’ve hit the ground running with maintenance issues as it relates to plumbing, major leaks and light maintenance assignments to the porter.
